PHARMA CHALLENGES

Compliance, Traceability, and Expiry Management

Pharma distribution requires precision. One expired batch on a shelf can damage your reputation and result in penalties. ERPNext automates all of it — expiry tracking, batch traceability, drug license compliance, and GST reporting.

Expired stock discovered on shelves

Expired medicines aren't caught until a customer returns them or an inspection finds them — damaging reputation and attracting penalties.

→ ERPNext: Expiry-date alerts when stock approaches expiry. FEFO picking prevents expired stock from being dispatched.

🔎

Batch traceability for recalls is impossible

When a manufacturer issues a recall, you can't tell which customers received which batch without checking every manual invoice.

→ ERPNext: Full batch traceability — every batch linked from supplier invoice to customer delivery in seconds.

📋

Drug license compliance and record keeping

Maintaining purchase and sales registers for Schedule H/H1 drugs, verifying customer licenses, and keeping audit-ready records is manual and error-prone.

→ ERPNext: Drug category tagging, customer license verification, and auto-maintenance of purchase/sales registers for scheduled drugs.

📦

FIFO/FEFO picking not enforced in the warehouse

Pickers grab the nearest stock regardless of expiry, leading to older stock being left behind until it expires.

→ ERPNext: FEFO (First Expiry First Out) enforced at pick time — system always directs to the earliest-expiring batch.

🏛️

GST on medicines is complex — multiple rates and exemptions

0%, 5%, 12% GST on different drug categories, changing rates, and GST on hospital services vs medicines creates billing confusion.

→ ERPNext: HSN-wise GST configuration per item — auto-applied correctly on every transaction with full audit trail.

↩️

Supplier credit and returns management

Managing credit notes from distributors and manufacturers, short-expiry returns, and replacement tracking is done manually in notebooks.

→ ERPNext: Structured supplier return process with credit note generation, batch-level return tracking, and replacement management.

Frequently Asked Questions

Pharma, Healthcare & ERPNext

How does ERPNext handle batch and expiry tracking for pharma distribution? +
ERPNext tracks every batch with its manufacturing date, expiry date, and quantity. When stock is received from a supplier, the batch details are recorded at GRN. When dispatching to customers, FEFO (First Expiry First Out) picking is enforced — the system always selects the earliest-expiring batch. Near-expiry alerts can be configured to flag stock approaching expiry with defined lead time.
Can ERPNext trace a product recall across all customers? +
Yes. ERPNext's batch traceability works end-to-end. If a manufacturer issues a recall for a specific batch, you can run a batch trace report in seconds that shows every customer who received that batch, on which invoice, and in what quantity — allowing rapid recall notification and return collection.
Does ERPNext support FEFO (First Expiry First Out) picking? +
Yes. FEFO is supported natively in ERPNext. When creating a delivery note or picking list, ERPNext automatically suggests the batch with the earliest expiry date for each item. Warehouse staff can see the suggested batch on their picking slip — ensuring older stock is always dispatched first.
How does ERPNext manage GST on pharmaceutical products? +
ERPNext allows you to configure HSN-code-wise GST rates per item — 0% for exempt medicines, 5% for essential drugs, 12% for medical devices, etc. The correct rate is applied automatically on every sale and purchase. When GST rates change (as they frequently do for pharma), you update the item GST configuration and all future transactions apply the new rate.
Can ERPNext manage drug license records for customers? +
ERPNext allows you to store customer license details — drug license number, validity date, and license category — in the customer master. You can configure alerts when a customer's license is approaching expiry. For Schedule H/H1 drugs, the purchase and sales register data required for regulatory compliance is automatically captured in each transaction.
